    Onboarding at Oxobox

The starting point of every project

Onboarding is the moment where expectations, processes and language are aligned to ensure smooth execution from day one. It is not a formality—it is the operational foundation of every successful delivery.

    What is onboarding?

Onboarding is the process of integrating a new client into the Oxobox operational ecosystem. It is designed to establish alignment, clarity and shared understanding between all parties involved in content delivery.

Rather than assuming prior knowledge, onboarding ensures that producers and distributors understand exactly how processes work, what terminology will be used, and what milestones define the path to delivery.

    The Onboarding Call

The Onboarding Call is the first formal operational meeting between the Oxobox Project Management team and the representatives of the production company or distributor delivering content to Netflix or Prime Video.

This is not a sales call. It is a strategic and operational alignment space designed to ensure everyone starts with the same information and expectations.

Review of project scope and delivery requirements
Introduction to the controlled vocabulary (Glossary)
Walkthrough of the project roadmap and key milestones
Clarification of the Statement of Work (SOW)
Establishment of communication channels and escalation paths

    The three pillars of onboarding

Every onboarding process is built around three foundational elements that work together to create operational clarity:

    Glossary

    Controlled Vocabulary

A controlled vocabulary of specific terms used throughout the project. Each term has a precise definition and is used consistently across all documentation related to reception, quality control, conformance and delivery. The goal is to ensure that everyone interprets information in exactly the same way.

    Roadmap

    Project Phases

A detailed action plan that establishes the objectives, priorities and timelines of the project. The roadmap provides strategic visibility, shows the path to follow, helps coordinate work across teams, and allows everyone to track progress against clear, measurable milestones. The roadmap also defines the project's communication channels, including formal email contacts for interested, committed and informed parties, as well as the control dashboards where work status is visualized in real time throughout the supply chain.

    SOW

    Statement of Work

A formal document that defines the objectives, scope, tasks, timelines, deliverables and budget of the project. The SOW provides a detailed description of what is expected to be delivered and helps avoid misunderstandings between teams and stakeholders. In practice, the SOW materializes into a contract between Oxobox and the service payer, where prices, timelines, scope and confidentiality conditions governing the project are defined.

    How the operational flow works

    1

    Glossary

A shared vocabulary that ensures clear and consistent communication

    2

    Roadmap

Aligning platform requirements with content partner expectations

    3

    SOW

Project scope formalized into a clear service agreement

    4

    Execution

Coordinated execution through clear communication and real-time visibility

Each element builds on the one before it. The Glossary establishes a shared language. The Roadmap defines the path. The SOW formalizes commitments. Only then does execution begin.

What to expect after the Onboarding Call

Once onboarding is completed, the project moves into execution with clarity and confidence:

    Confirmation of scope and deliverables
    Validated roadmap with agreed milestones
    Communication channels established and tested
Clear escalation paths for any issues
    Execution begins with shared understanding

    The foundation of every project

Onboarding is not a preliminary step—it is the foundation of the entire project. In high-demand environments like Netflix and Prime Video, where precision and timing are critical, a well-executed onboarding process reduces friction, clarifies communication, and leads to better outcomes for everyone involved.
